TMS with RMIS Integration for Carrier Onboarding and Compliance

ARK TMS’s RMIS integration supports carrier invitations, manual sync for existing carriers, and ongoing compliance monitoring. Teams can review provider-supplied certification, safety and authority, insurance, contacts, agreements, W-9, and document data in ARK. Enabling RMIS onboarding also enables automatic Delta sync for monitored carrier updates.

Carrier lifecycle

From carrier identity to an operational review

  1. 1

    Find

Preview an invitation by DOT or MC/MX. Manual sync separately accepts RMIS ID, DOT, or MC/MX for a known carrier.

  2. 2

    Invite or sync

Use the invitation flow for a new RMIS carrier, or manual sync for a carrier already onboarded in RMIS.

  3. 3

    Review

Inspect certification, safety, authority, insurance, contacts, agreements, W-9, and available documents in ARK.

  4. 4

    Monitor

Use manual sync for an immediate check; enabling RMIS onboarding also enables automatic Delta sync for monitored updates.

  5. 5

    Select

Use current carrier approval and safety context in the ARK carrier workflow before assignment.

RMIS data surfaced in ARK when available

ARK preserves provider context without implying that every RMIS carrier returns every field or document.

Onboarding

Choose the correct path for each carrier

Invitation preview accepts DOT or MC/MX and first attempts to sync an existing RMIS carrier. If RMIS cannot return the expanded carrier record, the invitation flow can continue to send an invite.

For a carrier known to exist in RMIS, the separate manual-sync flow accepts RMIS ID, DOT, or MC/MX identity. ARK checks provider and local identities to avoid silently joining an ambiguous carrier record.

  • Preview before invitation
  • Separate manual sync for known RMIS carriers
  • Identity conflict handling for duplicate local records

Carrier evidence

Review the provider record in operational context

ARK surfaces RMIS certification status and reasons alongside normalized compliance, insurance, safety, and authority views. Carrier teams can inspect provider-specific details, including coverage rows, contacts, agreements, W-9 data, and available documents without reducing them to a single badge.

The fields shown depend on the carrier record returned by RMIS. Missing provider data remains missing rather than being inferred, and ARK keeps source context with the synced evidence.

  • Certification status, notes, and non-certified reasons
  • Coverage details with dates, limits, insurer, and producer data when supplied
  • Provider documents and identifiers retained with the carrier record

Ongoing monitoring

Use background updates without losing manual control

Enabling RMIS onboarding also enables automatic sync. ARK can poll RMIS Delta data and process monitored carrier changes in the background. Document files are retrieved only when RMIS supplies a valid reference and retrieval is enabled.

Manual sync remains available when the team needs an immediate check before approval or dispatch. Last-sync context helps distinguish a current provider result from a carrier record that needs another review.

  • Automatic Delta processing while RMIS onboarding is enabled
  • Manual sync for time-sensitive verification
  • Supported document retrieval when RMIS supplies valid references

Connected workflow

Pair carrier review with Truckstop load posting

RMIS supports the carrier decision while Truckstop supports load distribution. The Truckstop partner hub shows how both live connections lead into ARK dispatch, configured tracking, invoicing, and supported QuickBooks Online sync.

Requirements

Connect RMIS and verify one known carrier

  1. 1

    Confirm the RMIS account

Gather the organization’s RMIS Client ID and API password.

  2. 2

    Enable RMIS onboarding

An ARK administrator saves the credentials and turns on RMIS onboarding in Integration Settings.

  3. 3

    Confirm the active provider

Only one carrier onboarding provider can be active at a time; enabling RMIS disables other onboarding actions.

  4. 4

    Sync a known carrier

Compare one carrier’s certification, compliance, insurance, and available documents in ARK with RMIS.

Verified workflow

Provider detail stays traceable to the carrier

Onboarding

Preview, invite, or sync

Preview an invitation by DOT or MC/MX, or manually sync a known RMIS carrier.

Monitoring

Manual + automatic Delta

Manual sync provides an on-demand check while automatic Delta sync processes monitored changes after RMIS onboarding is enabled.

FAQ

RMIS integration questions

Does ARK TMS integrate with RMIS for carrier onboarding?

Yes. ARK can preview and invite a carrier through RMIS, and it provides a separate manual-sync flow for existing RMIS carriers. Invitation preview accepts DOT or MC/MX. Manual sync accepts RMIS ID, DOT, or MC/MX.

What RMIS carrier data appears in ARK TMS?

When supplied by RMIS, ARK can show certification, compliance findings, safety and authority, insurance coverage, contacts, agreements, W-9 data, operational profile details, payment and factoring context, and available documents. Availability varies by carrier, the RMIS response, and whether document retrieval is enabled.

Does ARK automatically update RMIS carrier records?

Yes. When an administrator enables RMIS onboarding, ARK also enables automatic Delta sync for monitored carrier updates. Manual sync remains available for an immediate check before approval or dispatch.

Can dispatchers see RMIS compliance before selecting a carrier?

ARK brings current carrier approval and safety context into its carrier workflow before assignment. Users can open the carrier record for the detailed RMIS certification, compliance, insurance, safety, authority, and document evidence available from the provider.

Does ARK download RMIS insurance, W-9, and agreement documents?

ARK can retrieve RMIS certificate, W-9, agreement, and generic document files when RMIS supplies a valid reference and retrieval is enabled for the organization.

What is required to connect RMIS to ARK TMS?

An ARK administrator needs the organization’s RMIS Client ID and API password, then enables RMIS onboarding in Integration Settings. Only one carrier onboarding provider can be active at a time.

Can ARK sync a carrier that already exists in RMIS?

Yes. Search by RMIS ID, DOT, or MC/MX number and run a manual sync. If duplicate local carriers match the same provider identity, resolve that conflict before retrying so ARK does not attach evidence to the wrong carrier.
