Users and Permissions
Users and Permissions control user details, team access, default teams, license limits, backup users, commissions, and permissions.
User list
The user list shows active users in the organization. Select a user to review profile details, backup users, commission rules, and permissions.
Active users count toward licenses. If the organization has a license limit, adding a user may be blocked until the license count is increased from Billing.
Add a user
- Open Settings.
- Go to Users.
- Add the user.
- Enter first name, last name, and email.
- Select the teams the user should access.
- Choose the user's default team.
- Save.
- Select the user and review permissions.
- Ask the user to sign in and confirm access.
User details
- First Name: user's first name shown in lists, assignments, and activity context.
- Last Name: user's last name shown in lists, assignments, and activity context.
- Email: sign-in email and primary account email.
Ask the user to sign out and back in after access changes if a page, button, report, or workflow does not appear immediately.
Teams
Teams determine which team-owned records the user can see and where new work starts by default.
- Select the user.
- Open Teams.
- Check every team the user should access.
- Select Default for the team the user uses most often.
- Save teams.
Each user needs at least one team. The default team must be one of the selected teams.
Users with one team usually do not need to choose a team while working. Users with multiple teams can switch the active team view from supported dashboard pages.
Review team assignments when a user changes desk, branch, customer pod, billing responsibility, or manager role.
Backup users
Backup users provide absence coverage for broker workflows. Selected backup users are copied on outgoing emails where the selected user is the broker, including signed rate confirmation emails.
Use backup users when a broker is out, covering a desk, or sharing responsibility for customer or carrier follow-up.
Commissions
Commission settings are available when commission tracking is used by the organization.
- Margin %: commission based on load margin.
- Revenue %: commission based on load revenue.
- Flat rate: fixed payout amount.
- Customer override: customer-specific commission rule that replaces the role default for that customer when configured.
Review commission setup before running commission reports or approving payouts.
Permissions
Permissions determine which pages, records, reports, and actions the user can access. Review permissions after adding a user, changing roles, adding optional modules, or changing responsibilities.
Team assignments and permissions work together. A user needs permission for the page or action and team access for the records they are trying to view or update.
Deactivate access
When a user no longer needs access, remove or deactivate access according to your company process. Review assigned loads, customers, carriers, backup users, and commission settings first.
